Intake software for law firms

Answer every case inquiry in under a minute.

Including the ones that land at 2am. Clifton Counsel texts them, emails them, assigns the file, books the consult and chases the no-show. Your firm's name on every message.

The walkthrough

From their first click to a signed retainer, step by step.

Here's the whole journey a case inquiry takes through the system, and the exact messages the person on the other end is getting while it happens.

Someone reaches out

0:00

They fill in your case review form, or they call and nobody picks up. Either way the system has them, and the clock starts.

They hear back in seconds

0:04

A text and an email go out from your firm's number, both carrying your booking link. If they answered the form in Spanish, they get Spanish back.

The file gets an owner

0:06

Round robin assigns the next attorney, opens an opportunity in the pipeline and drops a call task on that attorney's list. A returning client keeps whoever handled them last.

Urgent cases jump the queue

0:09

If they flagged something that can't wait, an adjuster calling or a date already on the calendar, the whole team gets the alert instead of just the assigned attorney.

Questions get answered at 2am

Any hour

The intake assistant handles what it can, stays inside the guardrails your attorney approved, and steers the conversation toward a booked consult. It never gives advice.

The consult gets booked and kept

Same day

Confirmation on booking, a reminder the day before, another two hours out. Cancel or no-show and three rebook messages go out on their own before anyone at the firm has to notice.

Quiet leads get chased for a week

7 days

Six touches over seven days for anyone who goes silent. After that the opportunity closes itself and they drop into a 30, 60 and 90 day nurture instead of being forgotten.

You take the call

Your part

This is the only step the software doesn't do. By the time you pick up, the facts are in the file, the matter type is tagged and the follow-up is already scheduled behind you.

Retainer, then welcome

After signing

The signature chase runs until it comes back. Then a welcome text, a what-happens-next email, a task to open the matter file, and a check-in at the end of week one.

They never wonder where it stands

30 / 60 / 90

At thirty, sixty and ninety days the client hears from you whether or not there's news. That's the silence that turns into a bar complaint, closed before it opens.

Where the money leaks

The case didn't go to a better firm. It went to a faster one.

Most firms don't lose files on the merits. They lose them in the gap between someone reaching out and someone calling back. Here's what sits in that gap instead.

The call comes in while you're in court

It rings out. There's no voicemail worth leaving and they've already got two other firms open in another tab.

Missed call text-backThe second the call drops they get a text from your number asking what happened and offering a time. A call-back task lands on the assigned attorney's list for the same day.
The web form gets answered tomorrow

Somebody checks the inbox in the morning. By then they've signed with whoever picked up last night.

Speed to leadText and email go out in seconds, both carrying your booking link. The file gets an owner, an opportunity and a call task before anyone has read it.
They book, then don't show

The slot is gone, the attorney's hour is gone, and nobody follows up because nobody logged it.

Rebook sequenceThree reminders before the consult. If they cancel or no-show, three rebook messages go out on their own, then a call task if they still haven't moved.
The signed client goes quiet for six weeks

Nothing's wrong with the case. They just haven't heard anything, so they assume the worst and call the bar.

Client status updatesAt 30, 60 and 90 days the client hears from you, whether or not there's news. The month two email explains what the waiting actually is.
A deadline creeps up on the calendar

It's on somebody's calendar. Whether anyone looks at that calendar in time is a different question.

Deadline watchEnter a court date once. Seven days out the whole firm gets an email and a task. Two days out it happens again. Move the date and the watch restarts.
What's running

Twenty-one workflows, already built. None of them your problem.

This isn't a blank CRM you have to configure. Every sequence below is built, tested and published before your firm ever logs in. We swap in your name, your calendar and your attorneys, and it runs.

Speed to lead

Form comes in, text and email go out, the file gets an owner and an opportunity, and a call task hits the right attorney. Urgent matters split off and alert the whole team.

Seconds

Missed call text-back

Every missed call gets an immediate text from your firm's number, plus a same-day call-back task for the assigned attorney.

Immediate

AI intake assistant

Answers questions, qualifies, and moves people toward a booked consult without pretending to be a lawyer. It stays inside guardrails you approve before it goes live.

24 / 7

No-response follow-up

Six touches over seven days for anyone who goes quiet. If they never come back, the opportunity closes itself and they drop into long-term nurture.

7 days

Consult confirm and remind

Confirmation on booking, a reminder 24 hours out, another 2 hours out. Tied to your consult calendar so nothing else on the schedule triggers it.

3 touches

No-show and cancellation rebook

Three rebook messages carrying your booking link, then a call task if they still haven't picked a new time.

Automatic

Retainer signature chase

Once the retainer goes out, the follow-up runs itself until it comes back signed.

Until signed

New client welcome

Welcome text, a what-happens-next email, an open-the-matter task for staff, and a check-in at the end of week one.

Week 1

Declines that protect you

A non-engagement email with a deadline warning and a state bar referral pointer. Your attorney approves the exact wording before it ever sends.

Approved copy

Post-consult follow-up

The day after a consult they hear from you, and again on day four. The attorney gets a task to log the outcome so nothing sits in limbo.

Day 1 and 4

Long-term nurture

Cold leads get a touch at 30, 60 and 90 days. Every text carries an opt-out.

90 days

Review requests, on purpose

Reviews are never automatic at signing. Someone at the firm tags the client when the matter ends well, and only then does the ask go out.

Manual trigger

Bilingual intake

The intake form asks for preferred language and the follow-up answers in it. English and Spanish, same form, same pipeline.

EN / ES

Pipeline and ownership

Round robin assigns new files across your attorneys, and a returning client keeps whoever handled them last. Every task routes to the assigned owner automatically.

Round robin
Deadline watch

A missed deadline is a firm-wide problem, so it gets a firm-wide alarm.

Type a court date into the file once. From there the system watches it for you, and it doesn't care whether the assigned attorney is on vacation.

  • Seven days out, every user gets an email and a coverage task.
  • Two days out, it happens again.
  • Enter a date that's already inside seven days and the alert fires right away instead of being skipped.
  • Move the date and a fresh watch starts on the new one.

Monthly report

On the first of the month, you find out which marketing actually worked.

A report lands in your inbox at 10am on the 1st, comparing last month to the one before it. The line most firms have never seen is leads by source, broken out with open, won, lost and win rate beside each one. That's the number that tells you where the next ad dollar goes.

Nobody has to build it, run it or remember it. It just shows up.

Getting it running

About a week from signature to live.

The build already exists, so most of the install is swapping your details in and getting your number cleared to send.

01

We set up your account

Your firm's name, your consult calendar, your attorneys on the assignment rotation, and your booking link wired through every message that goes out.

02

Your number gets cleared

Carrier registration for business texting. This is the part that takes real days rather than hours, and it's the one thing we can't rush.

03

You approve and we go live

Your attorney signs off on the decline wording, we test the assistant on a live number, then flip it from suggesting replies to sending them.

Fit

When we'll tell you this isn't for you.

This fits if

You take consults. Leads come in by phone and web form. Somebody is supposed to call them back and that somebody is also billing hours. You've got at least one attorney who can be assigned a file, and you'd rather pay for a system than another receptionist.

This doesn't fit if

You don't want texts going to clients at all. Your firm runs entirely on referrals and never advertises. Or you want a full case management system with document assembly and trust accounting, which this isn't and doesn't try to be.

Pricing

One price. Everything turned on.

No tiers to pick between and nothing held back for a higher plan. Every firm gets the whole system, and there's no annual contract, so if it isn't earning its keep you can stop and your data goes with you.

Book a 20-minute demo

Texting and calling usage is billed at cost on top, and it's usually a few dollars a month per attorney.
Multi-office firms and anything custom, we'll price it on the call.

Questions

The things firms ask on the demo.

Does this replace my receptionist?
No, and it works better when it doesn't. It handles the hours nobody is at the desk and the first four minutes of every lead, so your receptionist spends their day on people who are actually ready to talk instead of chasing voicemails.
Whose name is on the texts and emails?
Yours. The firm name, the phone number, the booking link and the login screen are all your firm's. Clients have no reason to know there's anything underneath it.
What about the bar rules on client communication?
Two things are built in. The decline email is non-engagement wording that your attorney approves before a single one sends, and it points people to the state bar referral service. And the intake messages tell people not to send sensitive detail by email, because that conversation belongs on the call.
Can the AI assistant give legal advice by accident?
It's scoped to intake. It gathers facts, answers questions about the firm and moves people toward a booked consult. We test it on a live number with your attorney watching before it's allowed to send anything on its own, and it starts in suggest-only mode so you see every reply before it goes out.
How long until it's actually running?
About a week in most cases. The account setup is a day. The wait is carrier registration for business texting, which is out of everyone's hands and usually runs a few days.
What if I already use Clio or MyCase?
Keep them. This sits in front of the case management system, not on top of it. It handles everything from the first contact through a signed retainer. Once they're a client, your case management software takes over.
Do I own the data?
Yes. Contacts, conversations and pipeline are yours, exportable, and they leave with you if you ever stop.
Can I see it working before I commit?
That's what the demo is. We walk a fake lead through the whole thing live, from form submission to booked consult, and you watch the texts land on a real phone.
